1. Acceptance of Terms

By enrolling a child at Hotshots Tennis Academy ("the Academy"), the parent or legal guardian ("you") agrees to be bound by these Terms of Use. These terms govern the relationship between the Academy and all enrolled families.

2. Enrollment & Registration

  • Enrollment is open to children aged 4–17 years and is subject to program availability.
  • All enrollment information must be accurate, complete, and kept up to date.
  • The Academy reserves the right to decline or revoke enrollment for misrepresentation of information.
  • Players may be required to obtain an ITF I-PIN (International Player Identification Number) for tournament participation, as mandated by the Nigeria Tennis Federation (NTF).

3. Program Stages & Progression

The Academy operates a structured progression system aligned with the ITF Play Tennis pathway:

  • Red Ball — Ages 4–8. Modified courts, low-compression balls.
  • Orange Ball — Ages 8–10. 3/4 court, intermediate skills development.
  • Green Ball — Ages 9–12. Full-court transition with modified balls.
  • Yellow Ball — Ages 10+. Full-court competitive training with standard balls.

Stage placement and progression are determined by coaching staff based on skill assessments, not solely age.

4. Fees & Payment

  • Tuition fees are payable in advance as per the published fee schedule.
  • Payments may be made via Paystack (online) or bank transfer to the Academy's designated account.
  • Enrollment status remains "pending" until payment is confirmed by the administration.
  • Fees are non-refundable once a training term has commenced, except in cases of medical withdrawal supported by documentation.
  • The Academy reserves the right to adjust fees with 30 days' written notice before a new term.

5. Attendance & Conduct

  • Players are expected to attend all scheduled sessions. Excessive unexcused absences may result in program review.
  • Players must arrive on time, in appropriate tennis attire, with their own racket and water bottle.
  • The Academy upholds a zero-tolerance policy on bullying, discrimination, and unsportsmanlike conduct, consistent with ITF and NTF codes of conduct.
  • Parents/guardians must be reachable by phone during training sessions.

6. Health & Safety

  • Guardians must disclose all relevant medical conditions, allergies, and medications at enrollment.
  • The Academy is authorized to administer basic first aid and contact emergency services if a player's safety is at risk.
  • Players with communicable illnesses must not attend training until medically cleared.
  • The Academy carries basic liability coverage but does not provide personal injury insurance for players. Guardians are encouraged to arrange their own sports injury cover.

7. Media & Photography

  • The Academy may photograph or film training sessions and events for progress tracking and promotional purposes.
  • Media of players is stored securely and is not shared publicly without explicit guardian consent.
  • The parent portal provides a secure, private view of a player's media gallery.
  • Guardians may opt out of promotional media use at any time by notifying the administration.

8. Parent Portal Access

  • Portal access is granted via secure, time-limited magic links with optional PIN protection.
  • Magic links are personal and should not be shared with unauthorized persons.
  • The Academy may revoke portal access at any time for security reasons.

9. Tournament Participation

  • Tournament registration is managed by the Academy and is subject to coach recommendation.
  • Players must comply with NTF eligibility rules and ITF junior competition regulations.
  • Additional tournament fees, travel, and accommodation are the responsibility of the guardian.

10. Limitation of Liability

The Academy exercises reasonable care in all training activities. However, tennis is a physical sport and inherent risks exist. By enrolling, guardians acknowledge and accept these risks. The Academy is not liable for injuries sustained during normal training activities where reasonable safety measures were in place.

11. Termination

  • Either party may terminate enrollment with 14 days' written notice.
  • The Academy may immediately terminate enrollment for serious misconduct, non-payment, or violation of these terms.
  • Upon termination, player data is retained per the Data Retention Policy and may be anonymized upon request.

12. Governing Law

These terms are governed by the laws of the Federal Republic of Nigeria. Any disputes shall be resolved through mediation before escalation to the courts of competent jurisdiction in Nigeria.
